Administrative Assistant

Montreal and Town of Mount Royal (QC) Full time November 10th, 2025

The Administrative Assistant plays a strategic role in managing calls for tenders and overseeing the administrative follow-up of projects. This position requires advanced expertise in financial administration, as well as strong rigor in handling confidential information. Each week, the Administrative Assistant will be required to work, on a rotating basis, at both of Beameo’s offices.

Responsibilities. What you will need to do.

  • Manage the entire tendering process, including purchasing and reviewing documents, identifying submission requirements, coordinating bonding and insurance requests, and preparing and submitting bid packages through SEAO or in person when required.
  • Draft and review contractual and administrative documentation (contracts, bids, specifications, purchase orders, invoices, technical requirements, etc.).
  • Sort, organize, and archive documents in SharePoint in accordance with ISO 9001 standards.
  • Manage new projects: create project numbers and integrate them into the Avantage accounting system.
  • Participate in accounts payable management (tracking, entries, 3-way match, supplier management, etc.).
  • Participate in managing client files and in communicating with various stakeholders.
  • Plan and organize internal and external meetings, prepare meeting minutes, and ensure follow-up on action items.
  • Prepare expense reports.
  • Draft and distribute official communications to staff.

The requirements. What you need.

  • Degree in management/administration.
  • Minimum of 5 years of experience in a similar role.
  • Significant experience in tender management.
  • Proficiency with Microsoft Office Suite, SharePoint, SEAO, and the Avantage accounting software.
  • Excellent written communication skills in French.
  • Strong sense of rigor, discretion, and confidentiality.
  • Ability to manage multiple priorities simultaneously in a fast-paced environment.
  • High level of autonomy and initiative.
  • Excellent organizational skills and stress management.
  • Ability to collaborate with a variety of internal and external stakeholders.
